Privacy Policy

Recipients

A minor may participate in selecting a gift, identifying a wish, and describing the minor’s interests or an appropriate story or description. A minor may not independently create or maintain an account or independently submit or manage a wish.

Only shelters and care agencies approved by Reindeers as Participating Organizations may use an organization account to submit or manage wishes or select available gifts on behalf of eligible children. A Participating Organization may manage information, wishes, and gift selections for multiple eligible children through its organization account.

Information concerning a Recipient must be submitted through an approved Participating Organization account by an authorized representative. A Recipient does not submit personal information directly through the Platform.

For purposes of administering wishes and gifts, Reindeers may collect a username or display name, age or age range, interests, wish information, gift selections, an approved story or description, a Recipient or Wish ID, the approved mailing or delivery address of the Participating Organization, and other information reasonably necessary to administer or fulfill the program.

A username associated with a minor must not contain the minor’s full legal name or other information that unnecessarily identifies the minor.

Reindeers does not require a minor to provide a private residential address, personal telephone number, personal email address, school name, full date of birth, social-media contact information, or other unnecessary identifying information for purposes of creating or fulfilling a wish or selecting a gift.

Such information must not be included in a story, wish description, photograph, or other publicly visible content.

Where contact or delivery information is necessary, Reindeers may use the approved contact, mailing, or delivery information of the applicable Participating Organization.

Reindeers does not require a photograph of a Recipient to submit a wish or select an available gift. If a photograph containing a Recipient is submitted, the Participating Organization must have the authority necessary to provide it. Reindeers will not use an identifiable photograph of a Recipient for promotional or public communications without the authorization or consent required by applicable law.

Reindeers may review, redact, restrict, or remove information that could unnecessarily identify or locate a minor or create a privacy or safety risk for a Recipient.

Individual Accounts and Donors

Individual accounts may be used to list or donate gifts and to claim wishes for fulfillment. Individual accounts may not submit or manage wishes on behalf of Recipients or select available gifts.

When an individual creates an account or uses the Platform, Reindeers may collect an email address, username or display name, account and authentication information, optional profile information, records of gifts listed or donated, wishes claimed or fulfilled, gift-fulfillment information, communications with Reindeers, and other information reasonably necessary to administer the account.

When a Participating Organization selects a gift offered by a Donor, Reindeers may also collect or maintain information concerning the selection and fulfillment process, including approval or rejection status, any reason or explanation provided for a rejection, shipment status, carrier and tracking information, confirmation of receipt, and related transaction dates or status information.

For gift fulfillment, Reindeers currently facilitates physical gifts and does not process payment for the purchase of those gifts through the Platform. A Donor may purchase an item from an independent retailer or other third-party service. Reindeers does not collect or store complete credit or debit card information associated with purchases made directly through such third parties.

If Reindeers later introduces additional payment or donation methods, this Privacy Policy may be updated as appropriate.

Participating Organizations

Reindeers may collect information from shelters and care agencies applying to become or acting as Participating Organizations and from their authorized representatives.

This information may include the organization’s name, approved mailing or delivery address, representative name, title or role, business email address, business telephone number, organization account information, information reasonably necessary to verify the organization or its representatives, the status and outcome of Reindeers’ review of the organization account, any reason or explanation associated with a denial or other review decision, and information concerning Recipients, wishes, available-gift selections, and fulfillment administered through the organization.

Reindeers may also receive or maintain information concerning the receipt, storage, distribution, return, redirection, or other disposition of gifts where reasonably necessary to administer the program, verify fulfillment, address safety concerns, prevent misuse, or maintain appropriate nonprofit records.

A Participating Organization may provide an approved mailing or delivery address that differs from a confidential residential or shelter location where appropriate. Reindeers does not require a confidential shelter location to be displayed publicly.

Account and Technical Information

When users create or access an account, Reindeers may collect information necessary for authentication, account administration, role assignment, approval status, and access control.

When a person accesses the Platform, Reindeers and its service providers may also automatically receive limited technical information, such as IP address, browser and device information, pages accessed, dates and times of access, security logs, and similar usage information.

We may use cookies and similar technologies as reasonably necessary to operate, secure, and improve the Platform.

Reindeers places particular importance on protecting the privacy, dignity, and safety of minors.

Only an approved Participating Organization may submit or manage wishes or select available gifts on behalf of a Recipient.

Regardless of age, Reindeers seeks to minimize the collection and disclosure of information that could identify or locate a minor.

Donors are not provided a Recipient’s private residential address, personal telephone number, personal email address, school information, social-media contact information, or other direct-contact information for purposes of fulfilling a wish.

When a Donor or retailer ships a gift directly to a Participating Organization, Reindeers may provide or facilitate use of the Participating Organization’s approved mailing or delivery address as reasonably necessary to deliver the designated gift.

Disclosure of an organization’s mailing or delivery address does not give a Donor any right to contact, visit, locate, or communicate directly with a Recipient.

Where practicable, Reindeers may use a username, Wish ID, Recipient code, or similar identifier rather than a minor’s full legal name in connection with gift fulfillment.

If Reindeers becomes aware that information relating to a minor has been submitted without appropriate authorization or creates an unreasonable privacy or safety concern, Reindeers may restrict or remove the information and take appropriate action regarding the related account, wish, or gift selection.

Reindeers does not sell personal information concerning minors.

Reindeers may use information collected through the Platform to:

create and administer individual and organization accounts;

verify Participating Organizations and their authorized representatives;

review, approve, or deny organization accounts and record the status of that review;

control access to features based on account type and approval status;

receive, review, publish, and manage wishes;

receive and manage gift listings and available-gift selections;

connect Donors with wishes;

administer approval, rejection, shipment, receipt, cancellation, and completion status for gift fulfillment;

coordinate direct, Reindeers-handled, scheduled, or consolidated delivery of gifts;

communicate regarding accounts, wishes, gift selections, delivery, and fulfillment status;

send reminders and service-related notifications concerning account review and gift fulfillment;

apply Platform time limits and update transaction status where a required step is not completed within the applicable period;

verify the receipt and distribution of gifts;

generate statistics and reports concerning activity associated with a Participating Organization’s account;

provide user support;

prevent fraud, misuse, unauthorized access, or other improper activity;

protect the privacy and safety of Recipients and other users;

maintain and improve the Platform;

prepare aggregated or de-identified information concerning program activity and charitable impact;

comply with applicable legal obligations; and

establish, exercise, or defend legal rights.

Reindeers will not knowingly use information concerning a Recipient for a materially unrelated purpose without appropriate authorization where required.

Reindeers does not sell personal information.

Limited information concerning a Recipient may be displayed to Donors where reasonably necessary to allow Donors to understand and fulfill a wish. This may include a username or display name, age or age range, interests, approved story or description, requested gift information, wish status, and a Reindeers Wish ID or similar identifier.

Information designated for public display may be viewed by anyone who accesses the Platform. Reindeers therefore limits public-facing Recipient information to information reasonably necessary for the charitable program and applies the privacy and safety restrictions described in this Policy.

When a Participating Organization selects an available gift, Reindeers may provide the Donor with the identity or account name of the Participating Organization and other information reasonably necessary to review and fulfill that selection.

If a Donor rejects a gift selection, Reindeers may provide the Participating Organization with the reason or explanation submitted through the Platform.

When a Donor elects to fulfill a particular wish or approves a gift selection, Reindeers may provide or facilitate use of the approved mailing or delivery address of the applicable Participating Organization where reasonably necessary for delivery.

Reindeers does not provide the Donor with the Recipient’s private residential address or direct-contact information for purposes of fulfilling a wish.

Reindeers may make shipment status, carrier information, tracking information, receipt confirmation, and related fulfillment status available to the Donor and Participating Organization involved in the applicable gift transaction.

Reindeers may disclose information to retailers, carriers, delivery providers, or other parties where reasonably necessary to purchase, ship, transport, deliver, return, redirect, or otherwise administer a gift.

Reindeers may also disclose information to service providers that perform functions on our behalf, including hosting, data storage, authentication, email delivery, security, and technical support. Such providers may receive information only as reasonably necessary to perform the applicable service.

Service providers used to send transactional or service-related email communications may receive information reasonably necessary to send those communications, such as an email address, organization or account name where applicable, message content, and technical delivery information.

We may disclose information where reasonably necessary to comply with law, legal process, subpoena, court order, or lawful governmental request; investigate suspected fraud, abuse, harassment, or unlawful conduct; respond to a credible threat to the safety of a child or another person; or protect the rights, property, safety, or integrity of Reindeers, its users, Participating Organizations, or others.

Reindeers may use or disclose aggregated or de-identified information for charitable reporting, program evaluation, fundraising, research, or public communications where the information is not reasonably intended to identify an individual Recipient or Donor.

Reindeers may use cookies, similar technologies, and third-party services as reasonably necessary to operate, secure, maintain, support, and improve the Platform, provide account and communication functions, and understand general Platform usage.

The Platform may contain links to or interact with third-party services used in connection with the operation, support, purchase, fulfillment, or delivery of gifts.

When a user provides information directly to a third party, that information is governed by the third party’s own privacy policy and terms. Reindeers does not control and is not responsible for the independent privacy practices of third parties.

Reindeers does not use or disclose personal information concerning Recipients for targeted advertising.

Reindeers maintains reasonable administrative, technical, and organizational safeguards designed to protect personal information from unauthorized access, acquisition, use, alteration, or disclosure.

Access to non-public information is limited to persons who reasonably require access to perform authorized functions.

No Internet transmission, electronic storage system, or database can be guaranteed to be completely secure, and Reindeers therefore cannot guarantee the absolute security of information maintained through the Platform.

Reindeers retains personal information only for as long as reasonably necessary for the purpose for which it was collected or for legitimate administrative, legal, accounting, safety, fraud-prevention, audit, insurance, or nonprofit recordkeeping purposes.

When information is no longer reasonably necessary, Reindeers will delete, anonymize, or securely dispose of it, subject to applicable law and reasonable backup and archival practices.

Subject to applicable law and reasonable identity-verification procedures, users may contact Reindeers to request correction of inaccurate account information, deletion of certain personal information, removal of information from public display, or closure of an account.

An authorized representative of a Participating Organization may contact Reindeers regarding information associated with a Recipient for whom the organization is authorized to act.

A parent, legal guardian, or other person legally authorized to act for a Recipient may submit a privacy request concerning that Recipient. Reindeers may require reasonable verification of the requester’s identity and authority before responding to the request.

This does not authorize that person to create or manage a Recipient account, submit wishes, or select available gifts through the Platform.

Reindeers may retain information notwithstanding a deletion request when reasonably necessary or legally required for fraud prevention, child safety, dispute resolution, compliance, nonprofit recordkeeping, or other legitimate purposes.

Users may unsubscribe from optional promotional or fundraising communications through the method provided in those communications. Reindeers may continue to send account, transactional, security, safety, or other communications necessary to operate the Platform.

Residents of jurisdictions that provide additional privacy rights may exercise those rights as provided by applicable law.

Reindeers may revise this Privacy Policy from time to time to reflect changes in the Platform, our information practices, or applicable law. The “Last Updated” date above identifies the date of the most recent revision.
